Terms & Conditions
Last updated: April 9, 2026
1. Definitions
In this agreement, “PPR” refers to Pro Portable Restrooms, a California-based provider of portable sanitation equipment and related services. “Customer” refers to the individual, business, or organization renting equipment or purchasing services from PPR. “Equipment” refers to any portable restroom, sink or handwash station, waste holding tank, freshwater tank, temporary fencing panel, VIP event trailer, or other rental asset provided by PPR.
2. Scope of Services
PPR provides equipment rental, scheduled servicing, delivery, pickup, on-site relocation, tank installations, emergency response, and other related services as agreed upon. The Customer agrees to pay for these services according to the rates and payment terms outlined in their quote or invoice.
3. Acceptance of Terms
By signing a quote, accepting delivery of equipment, or otherwise engaging PPR’s services, the Customer acknowledges and agrees to be bound by these Terms & Conditions. This agreement is binding upon the Customer, their company, and any successors or authorized representatives.
4. Recurring & Future Orders
Once this agreement is in place, any additional units, services, route changes, or new job sites requested by the Customer — whether in writing, by phone, or by email — fall under these same terms. PPR maintains a 365-day window in which the original signed agreement governs all subsequent orders unless a new contract is executed.
5. Equipment Covered
This agreement applies to all equipment rented from PPR, including but not limited to:
- Standard and deluxe portable restrooms
- ADA-accessible units
- Single and double VIP event trailers
- Sink and handwash stations
- Waste holding tanks
- Freshwater water tanks (250, 500, and 1,000 gallon)
- Temporary fencing
- Any other equipment listed on the Customer’s quote or invoice
6. Tank Installation & Use
Waste holding tanks and freshwater tanks must be installed on stable, level ground in a location free from hazards. PPR charges $150 per connection installed; one tank may have multiple connections.
Freshwater tanks are for handwashing and non-potable applications only. Water from these tanks is not safe for drinking, cooking, dishwashing, or any human consumption. PPR is not liable for misuse, including illness or damage caused by using freshwater tank water for unintended purposes.
PPR is not responsible for damage to Customer property or equipment resulting from tank overflow, faulty connections made by the Customer, or leaks caused by Customer-inflicted damage. Only PPR personnel are authorized to fill or empty tanks unless explicitly arranged otherwise.
7. Scheduled Service
Each scheduled service includes:
- Removal and disposal of waste
- Replenishment of fresh water, deodorizer, toilet paper, and hand sanitizer
- Cleaning and sanitization of the unit interior
To complete service, PPR’s vehicle must be able to safely approach within 15 feet of the unit, and the area must be free of construction debris, parked vehicles, or other obstructions. If the unit is inaccessible or the site is deemed unsafe by the driver on the scheduled service day, the unit will not be serviced until the next regular service date.
8. Rescheduled Service Requests
If a Customer requests an additional cleaning after a unit was deemed inaccessible, PPR will dispatch within 24–48 hours and apply a $50 trip charge. Same-day emergency requests are subject to a $100 fee per occurrence.
9. Additional Service Requests
Service outside the regular schedule is billed at $50 per unit.
10. Tip-Overs
PPR secures units to the ground whenever site conditions allow. In the event a unit tips over:
- Do not attempt to clean the spill or wet the area
- Call PPR immediately
PPR will dispatch a crew to dispose of the waste, sanitize the affected area, and restore or replace the unit. A cleanup fee of $100 per unit may be applied.
11. Holiday & Schedule Adjustments
PPR makes every effort to maintain consistent service schedules but reserves the right to adjust service days during national holidays, severe weather, or other operational disruptions. The Customer or designated site contact will be notified by phone or email of any schedule changes.
12. Permitted Use
Only human waste may be deposited in PPR portable restrooms. The following are strictly prohibited:
- Trash, food waste, or construction debris
- Hazardous chemicals, paints, solvents, or industrial fluids
- Any non-organic materials
If PPR determines that a unit contains prohibited material, a contamination cleanup fee will be assessed and PPR reserves the right to remove the equipment from the site at the Customer’s expense. No refunds will be issued for removed units due to non-compliance.
13. Site Access
If the job site requires a gate code, security clearance, or scheduled access window, the Customer must provide this information to PPR in writing (email preferred) before service begins. If PPR’s driver cannot access the site due to lack of access information, no return trip fee will be charged provided PPR can verify the access details were not communicated.
14. Pricing & Billing
All equipment rentals are billed on a 4-week (28-day) cycle. Rates are subject to applicable California state and local taxes. PPR does not prorate billing for early pickup of unused units.
PPR reserves the right to adjust rates based on changes in fuel prices, disposal facility fees, or applicable laws and regulations. Customers will be notified of any rate adjustments before they take effect.
15. Payment Terms
Unless otherwise agreed in writing, payment is due in advance of service. Accepted payment methods include:
- Major credit and debit cards (a 3% processing fee applies)
- ACH bank transfer
- Business check (with prior approval)
- Cash or money order
By providing a credit card on file, the Customer authorizes PPR to automatically charge that card for recurring rental fees, additional services, damages, and any other charges incurred under this agreement.
16. Net Terms & Credit Accounts
Customers requesting invoiced billing must complete a credit application and submit it to billing@proportablerestrooms.com. Once approved:
- Standard terms are Net 28 days from invoice date
- Extended terms may be granted on a case-by-case basis
- Accounts 45+ days past due are subject to service suspension
- Accounts 60+ days past due are subject to equipment recovery and collections
Delinquent accounts referred to collections or legal counsel will be liable for the original balance plus reasonable attorney’s fees, court costs, and accrued interest at 1.5% per month.
17. Delivery
Delivery times are estimates and may vary based on traffic, weather, and route conditions. PPR is not liable for delivery delays or for failures to notify the Customer of such delays.
The Customer is responsible for designating where units should be placed at delivery. If no placement direction is provided and a unit is later required to be relocated, a $25 per-unit moving fee plus fuel costs will apply.
Units cannot be placed:
- On sidewalks or public rights-of-way
- Inside fenced backyards or through narrow gates without prior arrangement
- Up or down stairs
- In any location that creates a hazard or obstructs pedestrian, vehicle, or emergency access
Cancellation fees: Cancellation of an order before delivery may incur a $25 per-unit failed delivery fee plus fuel. Cancellation after delivery may incur both the delivery and pickup charges.
18. Equipment Movement & Site Changes
The Customer may not relocate, transport, or remove any PPR equipment from the original delivery site without PPR’s written consent. To move equipment, contact PPR customer service to schedule a relocation, which is billed as a new contract event.
Safety notice: PPR units can weigh up to 350 pounds. Untrained handling can cause serious injury. Only PPR personnel are authorized to move rental equipment.
19. VIP Event Trailers
VIP event trailers are equipped with GPS tracking for service and asset management purposes. The Customer may move trailers within the original job site but:
- Must remain within 5 miles of the original delivery location
- Must not exceed 35 MPH while towing
- Must not place trailers in hazardous locations or where they obstruct pedestrians, motorists, or emergency access
If the Customer elects to transport a trailer themselves, they assume full responsibility for any damage, injury, or liability resulting from the move. PPR strongly recommends that all trailer transport be performed by PPR personnel.
If GPS data shows a trailer has been moved more than 5 miles from the original site, PPR reserves the right to suspend service until the trailer returns or until the Customer formally updates the job site location. Excessive towing speed may result in additional fees.
20. Equipment Pickup
The Customer is responsible for notifying PPR when equipment is ready for pickup, even if a tentative pickup date was set in advance. Standard pickup timeframe is 48–72 hours after the request is received. Requests submitted after 2:00 PM are processed the following business day.
The Customer remains liable for any damage, loss, theft, or destruction of equipment until PPR has physically retrieved it. If a Customer requests pickup and then cancels after the unit has already been retrieved, the equipment will be returned but the original pickup fee remains due.
21. Limitation of Liability
PPR shall not be liable for:
- Damage to driveways, lawns, pavement, or other surfaces caused by service vehicles operating at the Customer-designated location
- Damages resulting from following Customer’s specific placement or service instructions
- Spills or service interruptions that may delay Customer operations or events
- Indirect, incidental, special, or consequential damages, including but not limited to lost profits, lost revenue, or business interruption
In no event shall PPR’s total liability exceed the amount actually paid by the Customer under this agreement.
For safety, Customers, their staff, and equipment must remain at least 10 feet from PPR service vehicles during operation. Injuries or damages caused by failure to observe this safety distance are not the responsibility of PPR.
22. Damage to Equipment
The Customer agrees to return all equipment in the condition it was delivered, subject to normal wear and tear. The Customer assumes risk of loss and damage during the rental period and agrees to pay the lesser of (a) the cost of repair or (b) the cost of replacement.
Standard replacement and damage fees:
| Item | Fee |
|---|---|
| Missing lock or key | $10 |
| Missing toilet paper rod | $10 |
| Missing hand sanitizer bag | $15 |
| Missing sanitizer dispenser | $25 |
| Spray paint (per wall) | $25 |
| Door handle | $35 |
| Missing toilet paper cover | $35 |
| Broken trailer lights | $50 |
| Missing seat | $50 |
| Missing urinal | $65 |
| Door lock | $75 |
| Missing trailer wheel | $100 |
| Wall damage | $250 |
| Floor damage | $250 |
| Missing trailer hitch | $250 |
| Door damage | $350 |
| Broken trailer fender | $350 |
| Total loss — standard restroom or handwash station | $1,000 |
| Total loss — waste or freshwater tank | $800 |
| Total loss — VIP trailer frame | $1,500 |
| Total loss — ADA unit | $2,000 |
Repeat damage policy: Hand sanitizer units that are removed or damaged more than twice will not be replaced.
23. Damage Waiver (Optional)
Customers may elect to add a damage waiver of $8.99 per unit per billing cycle. The damage waiver covers itemized damage listed above but does not cover:
- Total loss or theft of equipment (covered units receive a 20% discount on replacement — e.g., $800 instead of $1,000 for a standard restroom)
- Damage caused by hazardous material contamination
- Damage caused by Customer-attempted unit relocation
The damage waiver is not insurance and is non-refundable. PPR reserves the right to adjust damage waiver pricing for high-risk job sites.
24. Returned Payments
A $35 fee will be applied to any returned check, declined card, or failed ACH transaction.
25. Authorization
The individual signing this agreement (or accepting these terms electronically by booking service) represents that they have the authority to bind the Customer entity to these Terms & Conditions. Where the signer is an individual, they accept personal responsibility for payment of all charges. Suspended or terminated accounts remain liable for all charges accrued through the date of termination.
Past-due accounts accrue interest at 1.5% per month until paid in full.
